Position Responsibilities

  • Maintenance Data Analysis & Reporting
  • Maintain and consolidate maintenance-related data, including breakdowns, spare parts usage and maintenance costs.
  • Analyze maintenance data and identify trends, recurring issues and areas for improvement.
  • Prepare regular maintenance reports, dashboards and summaries for management review.
  • Ensure maintenance records and databases are accurate and updated on a timely basis. Spare Parts & Inventory Management
  • Monitor spare parts consumption and inventory levels.
  • Prepare spare-parts forecasts based on historical usage, maintenance requirements and upcoming demand.
  • Coordinate spare-parts ordering and replenishment to ensure sufficient stock availability.
  • Work with suppliers / vendors to follow up on quotations, orders and delivery status.
  • Maintain accurate records of spare-parts purchases, stock movements and usage.
  • Identify slow-moving, excess or critical spare parts and highlight them to the Maintenance team
  • Vendors Invoices & Claim • Assist with checking and processing vendor invoices and maintenance-related claims.
  • Verify invoices against purchase orders, work orders, quotations and supporting documents.
  • Provide administrative support to the Maintenance team.
  • Assist in preparing purchase requests, purchase orders and related documentation.
  • Conduct monthly stock take of maintenance spare parts and inventory when required.

Qualifications and Requirements:

  • Diploma / Degree in Business Administration, Operations, Supply Chain, Facilities Management or a related field.
  • Minimum 3–5 years of relevant experience in maintenance administration, procurement, inventory, facilities or operations support.
  • Preferably in F&B/retail industry.
  • Good analytical and numerical skills.
  • Proficient in Microsoft; experience with reporting or dashboard tools in Lark is an advantage.
  • Good understanding of inventory management and purchasing processes.
