Regional Admin, Strategic Partnership (Admin & Operations Support ‒ MY/SG/APAC)  

Position Responsibilities

Administrative Support
  • Take full ownership of all departmental documentation, filing, trackers, contracts, proposals, and internal folders.
  • Manage partnership email inboxes and enquiries for MY/Y/SG/A/APAPAC, ensuring timely responses and follow-through.
  • Prepare meeting minutes, follow-up action items, and ensure deadlines are tracked and closed.
  • Assist with calendar management, scheduling, and arranging internal/external meetings.
Operational Support for All Markets
  • Support daily operational needs of the Strategic Partnership team (MY/Y/SG/A/APAPAC).
  • Coordinate internally with Marketing, Ops, Tech, Finance, and Outlets for day-to-day tasks.
  • Ensure execution materials (documents, templates, pack lists, KVKVs) are accurate and ready.
  • Assist in updating SOPs, workflow checklists, and team processes.
Backend Management & Promotion Code Creation
  • Create and manage promotion/voucher codes, tagging, backend configurations, and redemption logic setup.
  • Perform thorough QA checks to ensure promotional mechanics work accurately before launch.
  • Track all promo codes, expiry dates, utilization, and voucher reporting.
  • Coordinate closely with Tech/Marketing to ensure backend readiness for all campaigns.
Sponsorship & Ordering Coordination
  • Handle sponsorship enquiries, requests, and fulfilment across MY/Y/SG/A/APAPAC.
  • Coordinate ordering, stock checks, item preparation, delivery arrangements, and logistics.
  • Manage paperwork related to sponsorships—including forms, approvals, and supporting documents.
Reporting & Tracking
  • Maintain weekly partnership trackers, campaign logs, sponsorship sheets, and overall team dashboards.
  • Support basic campaign reporting by extracting redemption data, invoice details, and performance numbers.
  • Prepare internal summaries for partnership team updates.
On-Ground Event & Activation Support
  • Assist during corporate events, partnership activations, sponsorship days, and road shows when needed.
  • Prepare event materials, setup logistics, and support on-site operations.
  • Ensure brand consistency and smooth execution during events.


Qualification and Experience


Key Requirements
  • 1‒3 years of experience in administration, operations, or marketing support with a background in Business Administration.
  • Proven experience in handling Company Secretarial (COSEC) matters and proficiency with platforms such as MyData SSM, LHDN, and MySST.T.
  • Ability to analyze Annual Financial Statements (AFS) to verify revenue, paid-up capital, and other key metrics.
  • Comfortable managing backend systems, complex spreadsheets, and digital promo code setups.
  • Highly detail-oriented with the ability to manage multiple tasks, documentation, and communications simultaneously.
  • A strong mindset of accountability and reliability, with the ability to anticipate team need sand solve problems independently.
  • Willingness to travel and provide on-ground support for events as required.
